0. Acceptance
Making a booking with Huko Safaris is taken as acceptance by the customer of these terms and conditions.
1. Booking & Payments
Your contract for travel is with Huko Safaris Ltd.
All bookings must be made via our official booking form or an authorized representative.
A 30% deposit is required to secure your booking. The booking is not confirmed until you receive written confirmation from us. Full payment is due 30 days before departure, unless agreed otherwise. Sometimes your booking may require other upfront payments on top of the usual 30% deposit: for internal flights, gorilla permits, or some bookings over peak holiday periods.
Gorilla & Chimpanzee permits must be paid in full upfront at the government's advertised price. Changes in pricing and booking terms of the permits are independent of Huko Safaris' terms and are determined by the government body in charge of wildlife.
Bookings made within 30 days of departure must be paid in full at the time of booking.
Any quote offered to you is valid for 7 days from that date, after which prices may vary due to cost changes.
Special requests (dietary, accessibility, etc.) must be submitted at the time of booking; we will do our best to accommodate them.
2. Pricing & Surcharges
We quote total holiday costs based on current rates and supplier fees.
Prices may increase before full payment is received due to fuel costs, transport, park fees, or currency fluctuations.
We absorb the first 2% of such increases; additional costs may be passed on.
If a price increase exceeds 10% of the original cost, you may cancel within 14 days of the revised invoice and receive a full refund of payments made (excluding any administrative fees).
You may pay in full at the time of booking to lock in the original price.
3. Cancellation & Changes by You
A set of itinerary changes, after confirmation, may be made free of administrative charges. Further changes may incur additional fees depending on supplier costs.

4. Cancellation & Changes by Huko Safaris
We reserve the right to make minor changes (timing, transport type, accommodation of comparable or superior standard) without compensation.
Major changes (route, significant delay, accommodation downgrade) will be communicated promptly. You may:
- Accept the change, or
- Choose an alternative trip, or
- Cancel and receive a full refund.
We are not liable for cancellations or changes caused by force majeure (e.g., natural disasters, strikes, political unrest, pandemics).
5. Our Responsibilities
We select trusted suppliers for transport, accommodation, and activities, but do not own some of these services.
We are not liable for illness, injury, or loss caused by third-party suppliers unless due to our negligence.
We cannot refund unused services unless the provider refunds us first.
6. Your Responsibilities
You must have valid travel documents (passport, visas, permits).
Comprehensive travel insurance is highly recommended and must cover medical emergencies, evacuation, and cancellations.
You must check in on time for all flights and pre-booked services; we are not responsible for missed flights or activities.
Disclose all relevant medical conditions at the time of booking.
You are responsible for your personal belongings; we are not liable for loss or damage unless caused by our negligence.
You must behave respectfully toward staff, other travelers, and wildlife. Breach of conduct may result in trip termination without refund.
7. Activities & Safety
Certain activities, including gorilla trekking, water rafting, boat safaris, and hikes, carry inherent risks. Participation is at your own risk, and you must follow guides' instructions.
Smoking is not allowed in our vehicles. Designated stops will be arranged for smokers.
8. Disclaimer & Limitation of Liability
We strive for accuracy in all information provided on our website and marketing materials but are not responsible for errors or omissions.
Our liability is limited to refunding payments for unused services, to the extent permitted by law.
9. Complaints & Resolution
If a problem arises during your trip, notify our local staff immediately so we can attempt a resolution.
If unresolved, submit a written complaint within 28 days of returning home, including your booking reference and details.
Disputes are governed by the laws of Uganda, and both parties submit to Ugandan courts' jurisdiction.
10. Data & Privacy
We collect personal data (contact info, medical/dietary details) to organize your trip.
Data may be shared with suppliers (hotels, guides) as needed but is kept confidential and secure.
